Q&A for Changes to Applicant Tracking System With 10/21/21 Update

Q & A

Default Application Updates

Q: I have some jobs currently posted and active that are using the current Arcoro Default Application template. What action do I need to take?

A: As of 10/21/21, the Arcoro Default Application template will change for all Arcoro clients to meet Indeed’s length requirement. All jobs currently posted using this default application will change, regardless of if they are being posted to Indeed or not. We recommend all current, active jobs using the Arcoro Default Application template be closed and reposted via the ATS to avoid any potential compliance issues related to changing the application questions for applicants on active postings.

Q: Is there a way for my company to be excluded from the Arcoro default application template changes?

A: No. This enhancement will take place for all Arcoro clients on 10/21/21.

Q: How can I see what the new Arcoro Default Application template looks like?

A: The new Arcoro Default Application template can be viewed via the ‘Application Page’ found under the ‘External Link’ section of a job that has been posted using the Arcoro Default Application. Navigate to Jobs, click on a job title, and click on the ‘Application Page’ link found under the Job Information > External Links section on the right-hand side of the page.
*Note – If you do not have a job posted using the Arcoro Default Application, a test job can be created in your ATS to preview the default application. Be sure not to distribute the test job to your career page, job boards, or referral networks via the Job Distribution section of the job posting.

Indeed Easy Apply Enhancements

Q: We are using ‘Enable Indeed Apply’ and my application template being used for the job posting says it is ‘Indeed Easily Apply Compatible’. Is there any action I need to take for the enhancements to take effect?

A: Yes. The job needs to be fed to Indeed on an enhanced XML code, so you will need to close and repost the job after 10/21/21 in the ATS for the enhancements to take place. All new jobs posted after 10/21/21 in this scenario will be sent via the enhanced XML to Indeed.

Q: We have ‘Enable Indeed Apply’ turned on, but my current custom application template is showing that it is not ‘Indeed Easily Apply Compatible’ within the App Templates section. What will happen to my job posting?

A: The current active job will still be posted with Indeed, but applicants will not be able to take advantage of the enhanced, one-step application process. No action is required if this process meets your needs. To take advantage of the enhancements, the application used for the job posting needs to be modified/shortened to meet the Indeed length requirements. The job will also need to be closed and reposted after 10/21/21 in the ATS so it can be sent to Indeed on the enhanced XML feed.

Q: I am not seeing the column titled ‘Indeed Easily Apply Compatible’ in the App Templates section.

A: This column will only appear if you have the ‘Enable Easy Apply’ configuration toggled to ‘Yes’ under Administration > Account Information > Enable Indeed Apply.

Q: We are not using the ‘Enable Easy Apply’ configuration and are not using the current Arcoro Default Application for any of our job postings. How do these enhancements affect my job postings?

A: If you are not using ‘Enable Easy Apply’, the current applicant experience will not change for jobs being distributed to Indeed. Additionally, if you are not using the current Arcoro Default Application template for any of your postings, your current, custom applications will not change.

Q: We are currently using the Arcoro DOT application and have jobs posted to Indeed. How do these enhancements affect our job postings?

A: The Arcoro DOT application is not compatible with Indeed’s application length requirements. You may continue to use the Arcoro DOT application template for jobs posted to Indeed, but applicants will not experience the enhanced, one-step apply process. The fields within the Arcoro DOT application template are not changing. To take advantage of the enhancements, the application used for the job posting would need to be modified/shortened to meet the Indeed length requirements. The job will also need to be closed and reposted after 10/21/21 so it can be sent to Indeed on the enhanced XML feed.

Q: Can I still create custom applications for use with Indeed?

A: Yes! You still have the flexibility to create custom applications for use with all your job postings. Custom applications are created via Administration > App Templates. Clicking the ‘Add Application Template’ button will get you started.
*Note – The fields available when creating a custom application using the ‘Add Application Template’ feature have not changed. If a custom application is being created for use with the ‘Enable Easy Apply’ functionality, fields or sections may need removed/modified to comply with the Indeed Easy Apply application length limits. Once saved, if the ‘Enable Easy Apply’ configuration is turned on, a column titled ‘Indeed Easily Apply Compatible’ will indicate if your custom application meets the Indeed application length limits. If you are not using the Indeed Easy Apply feature, the application length is not a factor.

Q: What happens if an Indeed applicant attaches a resume when applying instead of using their Indeed profile and their Education and Work Experience is not included or if included, it cannot by fully scanned?

A: On the candidate’s View Application Link from the Job Profile page, the ATS user reviewing will see informational text that states “Applicant applied with resume via Indeed Easy Apply. View attached resume for details.” See the below example. This will invite the user to view the attached resume to confirm if the applicant did provide more Education and Work Experience or not.

Q: What If I Do Not Already Use Indeed Apply and Want to Start?

A: For all current, active jobs that are posted to Indeed but DO NOT have the ‘Enable Indeed Apply’ turned on, you can enable (turn on) Indeed Apply in the ATS and the current jobs will be fed on the new XML code to Indeed. There is no need to close and re-post in this scenario. *Note – you may still need to adjust their application based on Indeed’s length requirements. You should reference the Indeed Easily Compatible column in the Application Template section to identify application compatibility once Enable Indeed Apply is turned on.
