  1. Click Add Notification
  2. Select the Process Step and recipients
  3. Click Save

Custom Notifications

Custom email notifications allow the New Hires and users of onboarding to have a personalized experience that reflects the personality and values of your company. These notifications include:

  • New Hire Setup - a welcome email sent to new hires upon setup
  • Onboarding Complete - the new hire has completed onboarding
  • Manager Notification of Pending Paperwork - onboarding paperwork is pending completion

Admins can update text (including font and styles), insert hyperlinks and videos, and add images making the welcome email reflect their company's unique brand. Mail merge fields can also be used by selecting the field from the dropdown and inserting it into the message.

Customizing the welcome email does not impact the BirdDogHR email containing the new hire's login credentials.

  1. Click Add Notification
  2. Process Setup: Select the notification (e.g. "New Hire Setup")
  3. Select "Custom Notification" - once checked, a text editor will display with editable default text
  4. Modify text to suit specific company needs
  5. Select Notification Recipients:
    1. Email New Hire? - selecting this box is required to send email to new hires upon setup
    2. Email Hiring Manager? - a copy of the message is sent to the hiring manager
    3. Email HR Admin? - a copy of the message is sent to the HR admin
  6. Additional Emails - enter emails to have a copy of the message sent to additional recipients
  7. Click Add

Ensure only one notification is set up per process step. If multiple notifications exist for "New Hire Setup", new hires will receive multiple welcome emails

Reminder Emails

Onboarding can be configured to send New Hire and Hiring Manager Reminder emails. These reminders can be sent daily, every other day, or weekly to remind New Hires or Hiring Managers that they have outstanding onboarding paperwork to complete.

Email notifications will begin one day after the original assignment. For example, if the “Daily” option was selected from the frequency dropdown and a new hire was assigned paperwork on Monday, the New Hire would receive a reminder email on Tuesday and each day thereafter until the paperwork is completed.

  1. Click Add Notification
  2. Process Setup: Select "New Hire Reminder" or "Hiring Manager Reminder"
  3. To customize the message, select "Custom Notification" checkbox
    1. A text editor will display with editable default text
    2. Modify text and use mail merge fields to suit specific company needs
  4. Under 'Frequency,' choose either 'Daily', 'Every 2 Days' or 'Weekly'
  5. Select Notification Recipients:
    1. Email New Hire?
    2. Email Hiring Manager?
    3. Email HR Admin?
  6. Additional Emails - enter emails to have reminder sent to additional recipients
  7. Click Add

Use the “Incomplete New Hire List” mail merge field for the Hiring Manager Reminder notification to provide a list of all New Hires with outstanding paperwork that are assigned to the Hiring Manager. Using this list provides clarity to the Hiring Manager without sending multiple notifications.
