Connection/Authentication

In order for the sync to occur the Company ID coming from Core HR needs to be an exact match to the Custom Company Number in Evolution.

For existing payroll clients that already have a Custom Company Number in Evolution there is no need to change to the Core HR Company ID in payroll. You can continue to use the existing Custom Company Number by placing it in the ‘External Company ID’ field (This is only in instances where you have one company in Core HR and one company in payroll). The sync will map to this field instead of the Core HR Company ID.

If you are using the Core HR Company ID as your Custom Company Number in payroll than the External Company ID field does not need to be populated.

The connection can be made several ways:

• Enterprise Level
• 1 company in IHR / Multiple Companies in payroll
• 1 company in IHR /1 Company in payroll

Enterprise Level

This will sync all companies that are under the specified Enterprise account in Infinity.

1. The InfinityHR Connection box for the middleware is opened from Menu > Settings > InfinityHR Connection. Select the Enterprise Sync option on the middleware. This will sync all companies that are under the specified Enterprise account in IHR.

   

2. The Infinity credentials (shown above) can be located in the Infinity System. To obtain the Vendor ID and Password go to Accounts > Find the Enterprise Account you will be syncing > click on the Administration Portal.

   

3. This will bring you to the Enterprise Portal Homepage. Select > Setup > Web Services. The ‘Configuration’ tab houses the basic configuration data necessary to connect to the Web Services Dashboard - the HR Vendor ID and Web Services Password.

   

   

4. If you need to exclude a company from the Enterprise sync you can do this through the Web Service Dashboard at the company level. Login to the company you are excluding and go to Setup > Web Service Dashboard > Configuration tab > Select the “No” radio button in the Active field.
   • Note: This can be done for each company that needs to be excluded from synchronization.
5. It is strongly encouraged that testing be done before going live with the sync. It is recommended that you test in the InfinityHR production environment and sync to a test account or test database in payroll.

1 Company in HR/Multiple Companies in Payroll

If you have multiple companies setup in payroll but only one company in Infinity the setup includes using User Defined L15 field in Infinity in place of the External System Company ID field.

In Infinity the user defined field ‘User Defined L15’ needs to be populated with all of the Evolution Custom Company Numbers. Each Employee will then need to be assigned to the correct Evolution Custom Company Number at the Employee Demographic level.

1. The InfinityHR Connection box for the middleware is opened from Menu > Settings > InfinityHR Connection.

   

2. The Infinity credentials (shown above) can be located in the Infinity System. To obtain the Vendor ID and Password go to Accounts > Find the Account you will be syncing > Click on the Administration Portal.

   

3. This will bring you to the Administration Portal Homepage. Setup > API Dashboard. The ‘Configuration’ tab houses the basic configuration data necessary to connect to the Web Services Dashboard - the HR Vendor ID and Web Services Password.

   

4. Under the ‘Configuration’ tab you will see the Core HR ID, External Company ID Field, Vendor ID and Web Service Password. The Vendor ID and Web Service Password are all system generated. The Vendor ID is hard coded and cannot be changed, however the Web Service Password can be.
   • Note: If there is a payroll company ID listed in the External Company ID Field you will want to remove it and > Click save.

     

5. Next go to Setup > Setup Properties > Field Value Setup > User Defined L15 and Input External Vendor ID as the field name > Click save > input all Evolution Custom Company Numbers as Lookup values. Note: If this field is already being used, you will need to relocate the data to another User Defined field.

   

6. Go to Employee > Employee Demographics > User Defined assign a company ID to each employee. This data can also be imported in.

Company Level

This is for instances when there is one company in payroll and one company in InfinityHR.
