Setting up an Employee to Review Other Employees’ Time

Within ExakTime Connect and ExakTime Mobile, it may be necessary for an employee to review another employee's time, such as for foreman and supervisors. You have a variety of options depending on what you want your employee to use and what information they should be able to review.

Reviewing an employee's time card on ExakTime Connect allows them to edit and/or review an employee's in/out time, location, cost code, hours, comments, and additional data depending on other options enabled on ExakTime Connect with the Time Card Details page and with reports.

Reviewing an employee's time card in ExakTime Mobile is limited to reviewing a time record's in/out time, location, cost code, and hours for the current week and the previous week.

Within ExakTime Connect

Setting Up The ExakTime Connect Security Role

By default, we offer an Administrator role and an Employee role. The Administrator role allows unrestricted access to ExakTime Connect, while the Employee role only allows the employee to review their own time. A foreman or supervisor though may fall in between those two roles. Keep in mind that if a foreman/supervisor is able to view and edit a time card, they will also be able to view and edit their own time card.

We generally do not recommend using the default "Employee" role as it should be used for general employees that only need to review their own time.

  • Go to Manage and click on Security Roles.


  • Go to the ExakTime Connect security roles.


  • Select an existing role or click Add Security Role and enter an appropriate name or select an existing role.


  • On the right-hand side, look for and enable the necessary permissions depending on what your foreman/supervisor needs:
    • Time Card Summary & Details - Review employee time cards directly from ExakTime Connect.


      • No Access - Employees cannot access the time card summary & details page.
      • Access All - Allows employee(s) to view, edit, and delete time records.
      • View - Allow employee(s) to only view time cards.
      • Edit - Allow employee(s) to edit and view time cards.
      • Delete - Allow employee(s) to delete and view time cards.
    • Reports - Generate employee time reports to review and download. Select the report(s) that your supervisor should be able to generate. As there are a variety of reports, you can refer to the following dedicated article that lists all the available reports.
  • Press Save when finished.

Assigning a ExakTime Connect Security Role from Employee Profile

  • Go to Manage in the Menu bar and select Employees.


  • Click the blue pencil icon to the left of an Employee's name.


  • Scroll to the Security Roles section.
  • For the "ExakTime Connect Security Role", select the appropriate security role.
    • Enter the email of the employee in the "Contact Information" section if they did not have ExakTime Connect access before and enter a username for the employee to use.
      They will receive an email to verify the email and set up their password.


  • Press Save when finished.
  • If the employee did not already have access to ExakTime Connect, they will receive an email to confirm their email address and create their password. 

Set up Employee Viewsets

If not already set up, you may need to set up an employee's viewset that determines the employees that an employee can view. By default, employees can only view their own information. For more information about adjusting an employee's viewset, please refer to the following dedicated article.

Reviewing Other Employees' Time

Once they sign in ExakTime Connect, they will be able to access the Time Card Details page where they can review employees time and make corrections if able. You can provide the following article to your foreman/supervisors so they can learn and understand the time card details page

Within ExakTime Mobile

Time cards on ExakTime Mobile allow your employees to view the time cards of other employees. At this time, time cards on ExakTime Mobile only allow viewing of time. Editing/deleting is not currently supported. To enable this option, refer to the following dedicate article.
