Setting up AccountLinx for AccountEdge

With AccountLinx, you can export your employees' time data and expenses from ExakTime Connect into a compatible file for AccountEdge.

If you have any questions or concerns during setup and/or use, you can contact us with the "Request Support" link at the top of the page and we will try to assist as best as possible. Keep in mind, however, that we are not AccountEdge support. We will try to assist you as much as we are able, but there are aspects of AccountEdge that are out of our area of expertise and your questions may be better served by AccountEdge support or your trusted contact to answer/assist.

As AccountEdge can be customized to fit your company's needs, it is possible that the default AccountLinx export for AccountEdge will not match your AccountEdge setup exactly. It is advised to read through this article before setting up AccountLinx to understand what is needed ahead of time.

Selecting AccountEdge as your Exporter

  1. Go to Tools and click Exporter Settings...
  2. The Exporter Settings window should open. Click Select Exporter...
  3. A window with a list of available exporters should open. Select "AccountEdge" and click OK.

AccountLinx Settings Unique to AccountEdge

The AccountEdge export for AccountLinx offers a variety of settings when exporting your time data to help tailor the time data to your company's needs. These settings are unique to AccountLinx and will not affect ExakTime Connect or Mobile. If any of the settings offered do not sound familiar to you, then you may not be using the setting in AccountEdge and can leave it as <None>. 

  1. Go to Tools and click Exporter Settings...
  2. The Exporter Settings window should open. Click Configure....
  3. The Configuration window should open. You should see the following options and tabs.
    • General Tab 
      • Regular - This earning code will be used when exporting your time data for any regular hours worked by an employee. This should match the regular earning code from AccountEdge.
      • Overtime - This earning code will be used when exporting your time data for any overtime hours worked by an employee. This should match the overtime earning code from AccountEdge.
      • Overtime2 - This earning code will be used when exporting your time data for any doubletime/premium hours worked by an employee. This should match the doubletime/premium earning code from AccountEdge.
      • Map Payroll Category to - Associate an alternate payroll code with an ExakTime employee, location, or cost code. The alternate payroll codes entered should match your AccountEdge payroll codes. This will add additional columns to the selected entity. 
        • This is generally used to help differentiate if an employee should receive a different pay type depending on who it is, where they worked, or what they did.
        • For more information about alternate earning codes and how they should be used, you can refer to the following article.
      • Map Rate to - Associate a rate with an Employee, Location, or Cost Code. This will add a column to the selected entity. The Configuration window should open. You should see the following options and tabs.
      • Date Format - Specify the date format for the time data to be exported for time records.
    • Comments/Notes
      • Specify if the comments associated to an employee, location, cost code, or time record should be exported along with the time record. 
  4. Click OK on the Configuration window and click OK on the Exporter Settings window to return to the main page of AccountLinx.
  5. Click the appropriate "Map Employee/Location/Cost Code/Equipment" option to see the columns from the options enabled in Step 3.

Example of AccountLinx Export

An example of an AccountLinx export opened in Excel has been provided below. The columns have been preformatted based on AccountEdge's template. There are some blank columns as we are trying to best match the export file to AccountEdge's template and not all fields are used by us.

While you can manipulate the exported data after it has been exported, it is highly discouraged as it can result in data discrepancies when double-checking any data.

Columns from Export File

The table below lists columns generated for the export file and what data populates the column.

1 Date Work Date
2 Activity ID Populated with “Activity ID” from "Map Cost Codes"
3 Cust.Co/Last Name Populated with “Customer” from "Map Locations"
4 Units Hours worked for a time record.
5 Rate Populated with “Rate” if enabled.
6 Job Populated with “Job” from "Map Locations"
7 Payroll Category Will use the alternate pay category if available. If there is no alternate pay category, will use the default pay category entered from the "Configuration" window.
8 Notes Populated from the comments if available and if enabled.
9 Emp.Card ID Populated with “Employee Card ID” from "Map Employees"
